Terms & Conditions and Covid Policy

Conkers’ Cottage: self-catering, dog-friendly accommodation

These Terms and Conditions explain what you agree to when you book the cottage and tell you what to expect from us: they are designed with fairness and safety in mind.

The person named on the booking form agrees to take full responsibility for ensuring that all members of their party adhere to the conditions set out below. In these conditions of let “owner” refers to DJ and V Riley, the business owning the Let, and “Property” refers to the cottage you are booking.

Payment Policy

A non-returnable deposit of 30% of the property rental rate is payable at time of booking, the remainder due four weeks before the start of your let. If a booking for the property is made less than four weeks before the arrival date, the full rental charge will be due. Failure to pay the full rental charge 28 days prior to arrival will result in the owner treating the property as available for re booking.

Cancellation Policy and Insurance

Please notify the owner in writing if you no longer wish to rent the property. If a notice of cancellation is received between the dates of booking and before the final balance is due, the none returnable deposit only will be retained.

If cancellation is made within four weeks of the letting date (e.g., the whole rent has been paid), then the whole amount will be retained unless the property can be re-let. If a re-let is successful then the full amount will be returned less the deposit.

If the property is then only partially rebooked for the period cancelled then only a partial refund dependent on the number of days re-let will be made (e.g., If originally booked for ten days and can only be re-let for three, then only 30% of the payment would be returned less the deposit.

In the case that subsequent to booking, the property became unavailable through any other cause and the owner is responsible, you must accept that the owner’s liability is limited to the amount of rent paid. Notification of the cancellation will be made in writing as soon as possible and we will promptly refund ALL monies due including the deposit.

We cannot provide refunds if your travel plans are disrupted (e.g., by bad weather, road closures etc).

To safeguard against cancellation charges and unforeseen circumstances, it is strongly recommended you take out your own comprehensive insurance policy. If you choose not to, then you accept responsibility for any loss that may incur due to your cancellation.

General Terms and Conditions of Booking

The number of people occupying the property is limited to that stated on the website (5 persons and up to two infants in cots extra to this) unless prior consent has been obtained in writing. This is to validate the property’s insurance.

Once booked, you will receive an email confirmation. Please check this carefully and contact us immediately if any details are not correct.

Guests agree to absolve the owner of any responsibility for any accident or mishap to person or property whilst on the premises or whilst actively engaged therein, or from injury or illness arising from any cause whatsoever.

You agree to use the property solely as a self-catering accommodation, the owner will not hand over the property to anyone deemed to be unsuitable to take charge.

Causing a nuisance or disturbing other neighbours and guests, unreasonable behaviour or disrupting the running of the general farm business could result in the owner asking you to leave the property.

You agree to allow the owners or their agents access to the property at all reasonable times. We will only ever request access in the case of an emergency, to undertake essential maintenance or for inspection purposes.

It is accepted that responsibility of the personal property of the guests occupying the property is solely the guests.

Bookings cannot be accepted from persons under 18.

Please treat the accommodation and facilities with due care, so other guests can continue to use them.

The dogs are not allowed upstairs or on the furniture. They are not to be left in the property unattended unless in a secure cage.

Smoking

A strict no smoking policy operates in the property. If you are smoking outside, please dispose of cigarettes responsibly.

Internet

An internet connection is available subject to technical availability. We are not able to get fibre broadband but we do have a good internet connection via our alternative suppliers. This is good enough for watching on demand services.

All vehicles are the responsibility of the guests and are left at their own risk. Please park so as not to obstruct the private access gate next door or the courtyard opposite. If you have an electric car, this can be charged from the property providing prior consent has been obtained, an extra fee may be charged. The property does not have a specific electrical car charging point.

Damages

You must respect and look after the property during your stay and notify the owner of any damages or breakages as soon as possible so they can be repaired or replaced ready for the next guests.

We reserve the right to charge for any damages or breakages. The accommodation will be inspected at the end of the stay and you may be charged for any loss or damage found.

Cleaning

Please leave the property clean and tidy after your stay. The owner reserves the right to make a charge to cover additional cleaning costs if the client leaves the property in an unacceptable condition.

Lost Keys

On entry to the property the key will be obtainable from the key safe on the side of the building. We would suggest the key is left here whenever you exit the property, if taken the key is your responsibility to keep safe. If lost a minimum lost key charge of £25 will be taken.

Please also make sure the property is accordingly secured during your stay, this includes locking any easily accessible windows and doors when you are not in residence.

Check In/ Check out Times

Guest arrival time is from 4pm onwards. Please notify us if you will arrive later than 8pm.

Guests are asked to vacate the property by 9.30AM on the day of departure to allow sufficient time to clean the property for the next guests.

Septic Tanks and Drains

The property is served by a septic tank. Please do not flush any wipes, sanitary products etc that could block the system (even if they do say flushable). Use the bins provided.

Please do not pour fat down any sinks that could block any of the pipes.

We reserve the right to charge if any call out service is needed to unblock the drains due to incorrect items being flushed down drains etc and is found to be directly attributed to your stay.

Complaints

The guest must inform the owner as soon as possible if they have any complaint. The owner will try and put things right as soon as possible but please note that local trades people are not always available and sometimes replacement items cannot always be sourced that day.

We cannot consider compensation for complaints raised after a guest leaves if they do not let the owners try and put it right when they are there.

Covid 19

Guests should take time to familiarise themselves with local Government Guidance on Covid 19 www.gov.uk/coronavirus

Common Symptoms include a high temperature, a new continuous cough, a loss or change in sense of smell.

DO NOT COME IF YOU OR SOMEONE YOU LIVE WITH HAS SYMPTOMS, OR IF YOU HAVE BEEN EXPOSED TO SOMEONE WITH COVID-19 IN THE 10 DAYS BEFORE YOUR HOLIDAY UNLESS YOU ARE 14 DAYS CLEAR OF YOUR SECOND VACCINATION AND HAVE A NEGATIVE PCR TEST.

Guests with confirmed or suspected Covid-19 should return home and obtain a PCR test. If they are not able to travel home after testing positive, they will have to pay the owner the full letting price for the accommodation which is occupied, during the extended stay. The cottage itself is not suitable for self-isolation.

If either the guest or the property enters a lockdown or restricted travel is imposed, the owners will happily move the guests booking to later in the year. Alternatively, if guests wish to cancel their booking completely, the owners will process a full refund. We ask that you inform us of any cancellations at your earliest opportunity.

Owners will follow the Government’s Hospitality Guidelines for cleaning to ensure your safety.

Owners request everyone in the party uses the hand sanitiser every time the cottage is entered.

Before departure owners ask if all the used beds can be stripped (minus the mattress protectors) and all rubbish dealt with and tied up in the rubbish bags provided where applicable.
